1. Overview & Scope
Welcome to Benadep (“Benadep”, “we”, “our” or “us”). This Privacy Policy explains what information we collect, how we use it, who we share it with and how you can delete it when you use:
the Benadep website at benadep.com, including workshops, articles and the contact form;
the Benadep AI Workspace: Nail Art & Product AI, AI Video Creator, the Social Publisher and the text AI Agents for marketing, customers, salon management and vendors;
BenaPro, our salon management software, including the BenaPro app and its AI Receptionist, Marketing Assistant and Report Assistant.
Together we call these the “Services”. The Services are built for nail salon owners, nail artists and beauty professionals. They do not include any product marketplace: if you shop with a Benadep-affiliated store, that store’s own privacy policy applies to your orders.
In short: we collect the account details you give us and the content you create with our tools. We share that content with the AI providers listed in Section 4 only to produce what you asked for, we never sell your personal information, and you can delete your AI content or your whole account at any time from inside the app.
2. Information We Collect
2.1 Account and profile information
Account details: your name, email address, phone number and password (stored only as a salted hash). If you sign in with Google, we receive your Google account ID, name, email address and profile picture from Google.
Salon profile: your salon name, salon size, number of staff and chairs, a short bio, your website and your salon address (street, city, state and ZIP code) if you choose to add them.
Team and workspace: the workspace you own or belong to, team members you invite (their email addresses) and the brand names and locations you register.
Billing: your subscription plan, add-ons, invoices, payment status and usage of AI credits. Card details are entered directly with our payment processor (Section 6) and never reach our servers.
2.2 Content you give to the AI tools
When you use the AI Workspace we collect the content you provide and the content our tools create for you:
Prompts and instructions: the text you type to describe a nail design, a video, a caption, a campaign, a reply or any other task.
Reference images and videos: photos you upload or pick from your gallery, including photos of hands and nails, products, your salon and inspiration images, and videos you upload for editing, image-to-video or analysis.
Chat and requests: the full conversation you have with an AI Agent, including follow-up questions and clarifications.
Knowledge base and brand assets: documents you upload for the agents to reference (for example price lists, brand guides or scripts), your logo files and the brand message you ask us to add to generated media.
Generated results: the designs, images, videos, captions, posts, campaign plans, replies and other outputs our tools create, together with the settings used to create them.
Usage records: which tool you used, when, how many credits it consumed and whether the request succeeded, so we can bill your plan correctly and fix failures.
2.3 Social publishing
If you connect Facebook, Instagram, YouTube or TikTok to the Social Publisher, we store the account or page identifier, its display name, the permissions you granted and the access token the network issues to us. Tokens are stored encrypted. We also keep the posts and media you schedule or publish and the delivery status reported back by the network.
2.4 Workshops and contact form
When you book a workshop we collect the contact details you enter for that booking (phone, email and postal address), your payment status and any note you add. When you use the contact form we collect your name, email address, subject and message.
2.5 Technical information
Error and performance reports: when something breaks we record the error, the page or request involved and technical details such as browser type and IP address. Our error monitoring is configured not to collect personal information by default and to mask text and media in any session replay.
Cookies and local storage: we use strictly necessary cookies to keep you signed in and browser storage to remember your workspace and unsent drafts. We do not use advertising or cross-site tracking cookies and we do not run third-party analytics scripts.
3. How the AI Tools Use Your Content
We use the content described in Section 2.2 only to deliver the feature you chose. The table below lists each feature, the data it needs and what it produces.
Feature
Data used
What it creates
Nail Art & Product AI
Your prompt, up to ten reference images (for example a photo of a client’s hand or a product), the automatically detected nail area, and the design template you pick.
Nail designs, product visuals and edited images.
AI Video Creator
Your prompt, a start or reference image or video, duration and aspect ratio, and any script the agents drafted for you.
Short videos and reels.
Marketing agents (Social, Campaign, Google Business, Offer Assistant)
Your chat messages, attached images, your knowledge base and brand details you share in the conversation.
Captions, social content, campaign plans, business listings and promotions.
The customer message, review or situation you paste in, and your instructions.
Suggested replies and messages you can edit before sending.
Salon Management and Vendor agents
Your chat messages and uploaded documents.
Service menus, operating checklists, training material, business insights and product listings.
Social Publisher
The caption and media you choose to publish and the connected account you select.
Posts delivered to the network you picked.
In addition, we use your AI content to:
Keep your history: your conversations, generation history and media library are stored so you can return to, reuse, download or delete them.
Remember context: agents may keep short summaries of earlier conversations in your workspace so they can follow up without you repeating yourself.
Check compliance: marketing text written by an agent is screened by an AI model for claims that could be unlawful (for example medical claims) before we show it to you.
Bill your plan: we count images, video seconds and agent tasks against your plan’s limits.
We do not use your prompts, images, videos or generated results to train our own AI models, and we do not show your content to other Benadep customers.
4. Third-Party AI Providers
Benadep does not run large AI models itself. To create the results you ask for, we send the necessary content to the AI providers below through their business APIs. The provider we use for a given request depends on the feature, the template you select and our current configuration.

4.1 What we never send to AI providers
Requests to AI providers carry only the content needed for the task plus an internal, pseudonymous identifier for your workspace. We do not send your name, email address, phone number, salon address, password, payment details or social account tokens to any AI provider.
4.2 Your consent
Your content is shared with an AI provider only after you have agreed to this Privacy Policy when creating your account and only when you actively submit a request in the app: for example by pressing Generate, sending a message to an agent, uploading a reference image or attaching a document. Nothing you store in Benadep is sent to a provider on its own.
4.3 What we require from providers
We work with each provider under its business or API terms, under which the provider may process your content only to return the requested result to us, must protect it with safeguards at least equivalent to those described in this Policy, and may not use it to train its models unless you opt in separately. We review providers before adding them and update the table above when the list changes.
5. BenaPro Salon Software
BenaPro helps you run your salon. When your salon uses BenaPro, you decide which client and staff information to enter, and Benadep processes it on your behalf to provide the software. This includes:
Client records: your clients’ names, phone numbers, email addresses, appointment history, preferred services, nail professionals and any notes you keep about them.
Online booking: the location, service, nail professional, time and contact details a client submits when booking with you online.
Staff, services and pricing: your team members, their schedules and commissions, your service menu and promotions.
Payments and reports: sales, payment records and the business reports we compile from them.
AI Receptionist, Marketing Assistant and Report Assistant: when you enable them, the messages, calls and questions they handle for you, the client details needed to book or change an appointment, and the summaries and drafts they produce. These assistants rely on the same AI providers and safeguards described in Sections 3 and 4.
You are responsible for telling your clients how you use BenaPro and for having a lawful basis to store their information. We use client information only to provide BenaPro to your salon and never to contact your clients for our own marketing.
6. Other Service Providers
Beyond the AI providers in Section 4, we rely on a small number of companies to operate the Services. Each receives only what its role requires:
Stripe (payments): your name, email address and workspace identifier, together with the plan you buy. Stripe collects your card details directly; we store only invoice records and payment status.
Amazon Web Services (hosting, storage and email): your uploaded and generated media are stored in Amazon S3, and transactional emails such as verification codes, booking confirmations and account notices are sent through Amazon SES.
PostProxy (social publishing partner) and the social networks you connect (Meta for Facebook and Instagram, Google for YouTube, TikTok): the caption, the media you publish (delivered through time-limited links), your connected account identifiers and the delivery status. The networks receive whatever you publish under their own terms.
Sentry (error monitoring): technical error reports with personal information turned off and sensitive fields removed before sending.
Google (sign-in): if you use Sign in with Google, Google verifies your identity and shares your basic profile with us.
We may also disclose information when the law requires it, to protect the rights and safety of Benadep, our users or the public, or as part of a merger or acquisition, in which case this Policy will continue to apply to your information.
7. How We Use Your Information
Provide the Services: create and secure your account, run the AI tools, publish your posts, manage your salon in BenaPro and process workshop bookings.
Billing: charge your plan, apply credits and limits, issue invoices and handle refunds.
Support and communication: answer your requests, send verification codes and account, booking and billing notices, and let you know about material changes to the Services.
Safety and reliability: detect abuse, enforce our Terms of Service, monitor errors and keep the Services available.
Improve the Services: understand which features are used and where they fail, using aggregated usage records rather than the content of your prompts and media.
8. Your Choices: Deleting AI Content and Your Account
8.1 Delete AI content and history
You can remove what you created without deleting your account:
Conversations: open the chat history in the AI Workspace and delete a conversation, or clear its messages. This removes the conversation and its messages from your workspace.
Generations: in the Nail Art & Product AI and AI Video Creator history, delete a generation to remove its record and settings.
Media: delete an image or video from your media library to remove it from your gallery and stop it being reused.
Knowledge base: delete an uploaded document to remove it and everything the agents indexed from it.
Social accounts: disconnect a network in the Social Publisher to revoke our access and delete its stored token.
8.2 Delete your account
Go to Profile → Delete Account. After you confirm your password (or a one-time code sent to your email if you sign in without a password) your account is deleted immediately; there is no waiting period and it cannot be undone. On deletion we:
erase your name, email address, phone number, avatar, Google link, salon profile and address from your account record and sign you out everywhere;
disconnect every social network you connected and delete the stored tokens;
remove your conversations, generation history, media library, knowledge base documents and brand assets from our active systems within 30 days;
keep a hashed form of your email address, without the address itself, so the deletion cannot be abused to bypass limits.
If you still have an upcoming workshop booking, cancel it first; you can create a new account with the same email address later.
9. Data Retention
While your account is active: we keep your profile, AI content and history until you delete them, so you can return to your work at any time.
After you delete content or your account: deleted content and profile data are removed from our active systems within 30 days and from encrypted backups within 90 days.
AI provider copies: media copied to fal.ai for processing expires within 24 hours; other providers receive requests transiently under the terms in Section 4.3.
Social publishing media: published or scheduled media that is no longer referenced by any post is deleted after 30 days.
Financial records: invoices, payment and refund records, and workshop booking records (without your personal details after account deletion) are kept for as long as tax and accounting law requires.
Security codes: email verification and one-time codes are deleted within 24 hours of expiring.
10. Data Security
We protect your information with administrative, technical and physical safeguards, including encryption in transit (TLS) for every connection, encryption of stored social account tokens, salted password hashing, hashed one-time codes, role-based access to admin tools and private storage for media that is not meant to be public. No system is perfectly secure; if we learn of a breach affecting your information we will notify you and the relevant authorities as the law requires.
11. Your Privacy Rights
You can review and update your profile in Profile at any time, and delete content or your account as described in Section 8. You may also contact us to:
Access a copy of the personal information we hold about you;
Correct information that is inaccurate;
Delete personal information, subject to the retention rules in Section 9;
Opt out of non-essential emails by using the unsubscribe link in the message or writing to us; account, security and billing notices will still be sent.
If you are a California resident, these rights are provided under the California Consumer Privacy Act. We do not sell or share your personal information for cross-context behavioral advertising and we do not discriminate against you for exercising your rights. If you are located outside the United States, note that the Services are operated from the United States and your information will be processed there.
12. Children
The Services are intended for beauty professionals and businesses. They are not directed to anyone under 18, and we do not knowingly collect personal information from children. If you believe a child has provided us with personal information, contact us and we will delete it.
13. Changes to This Policy
We may update this Policy as the Services change. When we do, we will post the new version with a new effective date, and for material changes we will notify you by email or inside the app before they take effect.
